A maintenance log serves three purposes: it is a management tool for tracking outstanding repairs; it is a risk management record demonstrating that known defects are being addressed; and it is CQC evidence that the physical environment is actively managed. Most providers understand the first purpose but do not actively design their log around the second and third -- and this is where inspection findings emerge.
For every defect or maintenance issue: the date first reported; who reported it; a description with location; any interim action taken; the priority classification; the contractor or person assigned; the date remediation was completed; a description of what was done; and sign-off by a responsible person confirming the item is closed. Missing fields -- particularly the closure sign-off and the date reported -- are what CQC inspectors note.
The format can be paper, spreadsheet, or a purpose-built facilities management system. The choice matters less than the consistency of use. A simple spreadsheet completed fully for every defect is better evidence than a sophisticated system with partial entries. Ensure it can be accessed on site during an inspection.
There is no statutory retention period, but the practical recommendation is: current year plus three previous years accessible on site; older records archived but retrievable within 48 hours. Keep at least six years -- the limitation period for personal injury claims.
The most common failure is not the absence of a log -- most providers have something -- it is the absence of closed items. Inspectors look for defects reported months ago with no resolution date. Implement a weekly review of all open items, and ensure every item has either a planned completion date or a documented reason for delay. Undated, unassigned open items are the finding.
