Boiler service records in care homes: what the annual service report must contain and how it differs from the CP12

An annual gas safety check (CP12) and an annual boiler service are two separate requirements. The CP12 confirms that the appliance is safe to use. The service ensures the boiler is operating efficiently and that wear components are inspected and replaced as required.

Why this matters

Many operators conflate the two documents. A CP12 without a corresponding service record means your boiler may be "safe" but not maintained. A boiler that fails in winter due to lack of service when residents depend on it for heating and hot water is both a resident welfare issue and a potential Regulation 15 breach.

What to do
  • 1Ensure your gas engineer carries out and documents a full service at the same visit as the annual CP12 or schedule separately if your maintenance programme requires it.
  • 2Retain the boiler service report alongside the CP12 they are separate documents and both should be in your evidence file.
  • 3If your boiler is approaching end of life (typically 15-20 years for commercial units), commission a condition survey before the next service cycle.
